Changing accountant? Agree the file transfer before the handover

Changing accountant requires clear agreements on available documents, outstanding work, responsibilities and continuity of financial reporting.

Define the work and transition date

Specify whether bookkeeping, accounts, tax or payroll transfers and which financial years each adviser completes. A statutory audit is a separate engagement. Clear dates prevent both duplicate work and missed obligations.

Agree the records and permissions required

The last accounts alone are insufficient: balances, reconciliations, tax positions, contracts, resolutions and open authority questions may be needed. Transfer with appropriate consent and confidentiality, recognising that not every internal predecessor document is a client record.

Check opening balances and immediate deadlines

Verify software access, authorisations and written extensions before the first deadline. Reconcile the ledger to final prior-year adjustments, identify handover differences and assign one contact for remaining questions. Then agree ongoing delivery and review responsibilities.
